A good provisioning list should mean the same thing to the chef, the charter contact and the supplier. Start by stating what you need, how much, which specifications matter and where it should arrive. This checklist helps yacht chefs prepare a professional supply enquiry for RADA.
1. Define guests, crew and meals
Record the number of guests and crew, the days to be covered and the meals that will be served on board. Separate the initial supply from any planned top-ups. Lunch ashore and dinner on board affect the list differently; working from the menu makes it easier to explain the quantities required.
Gather preferences and dietary requirements explicitly. If a product must meet specific requirements, ask for these to be checked before confirmation. Do not assume that a substitute will be suitable: share the characteristics the chef needs to approve.
2. Organise the list by category
- Fresh ingredients: vegetables, fruit, herbs, meat and fish, with requested cuts or sizes.
- Dairy and specialities: cheeses, charcuterie, eggs and regional products, stating type and format.
- Pantry: oil, pasta, rice, preserves, coffee and ingredients for breakfast and baking.
- Wine and drinks: labels, requested vintages, bottle size and number of bottles.
Use consistent quantities and units for every item. State whether a weight refers to a whole product or a particular cut; specify the number of packs when pack size matters. Highlight mandatory brands and the items for which you can consider an alternative.
3. Add an operational note for exceptions
‘Avocados for lunch on embarkation day’ communicates a different need from ‘avocados for the next few days’. Intended use, preferred ripeness and pack format all help shape a proposal around service on board. These are specifications to check with suppliers, rather than implied guarantees.
Compare the list with available storage space as well. If splitting supplies across several port calls would help, provide the dates and locations. RADA checks the feasibility of each delivery with its local network.
4. Complete the request with port details
Include the yacht name, port or marina, date, delivery window and onboard contact. Add instructions for the meeting point and mention if the vessel may change position. Even a precise product list leaves the delivery plan incomplete without an operational contact.
Before treating the order as complete, check the summary: confirmed products, approved alternatives, quantities, costs and delivery arrangements. Keep an updated version of the list to share with your team.
